Terms and Conditions

Please review the general policy below before making a reservation and also before your arrival and departure to ensure you do not incur any additional charges. You will also find a copy of Terms & Conditions in the cabin binder.

ARRIVAL  Upon your arrival you will find an information book (3-ring binder). This is provided in all of our homes for our guests. It is full of information on the individual unit and the area you are visiting. You will find WiFi passwords and instructions on how to use different things around the house. It is also full of area attractions, maps & local favorites.

DEPARTURE  Prior to your departure we ask that you please follow a few house rules to help us prepare for arriving guests:
  1. Place all dirty dishes in the dishwasher and start it. If the home you are staying in does not have a dishwasher please wash & put away any dirty dishes.
  2. Start one load of laundry in washing machine (preferably towels). If the home you are staying at does not have a washer/dryer, please gather dirty laundry and place it in bathroom area.
  3. Put all trash in large trash container. Please read the information binder to see where they are located in your unit.
  4. Turn heat down to 58 degrees. In winter months DO NOT turn thermostats off.
  5. Make sure all gas fireplaces are turned off and all wood fireplaces are extinguished properly.
  6. Lock all doors and windows.
  7. Return keys to lock box and garage remotes to their designated area. A $25.00 fee will be applied for all lost keys.
AGE REQUIREMENT  Must be 25 years of age with a valid credit card to reserve.

COMMUNICATION  The majority of our communications will be electronic through the email address provided by the guest. While we always accept phone calls at 719-602-0438, we provide vital information about your reservation and the home via email. You will receive a number of electronic correspondences from us including:
  • Your reservation confirmation: This includes reservation dates, the property name, the confirmation number, and payment information.
  • Final balance due notice: This is a courtesy reminder for the amount and due date of your final balance. Guests are not required to call or sign-in online to make their final payment. We will charge the credit card on file for the final amount due 45 days before your arrival. If you would like to pay your final balance by different means, then please let us know, and we will happily update your payment information.
  • Rental information email: One week before your stay, you will receive the address, driving directions, and house key retrieval information via email.
NON SMOKING PROPERTIES  All of our homes are non-smoking homes. Please utilize the porches and outside areas in consideration of our non-smoking guests. Please do not discard smoking materials on the ground. Due to high fire danger in our area we ask that you please us caution and respect when smoking outside. Please dispose of and and all smoking products properly. If remnants are found thrown on the ground or decks or smoke is detected in the house, your credit card will be charged an additional $100.00 cleaning fee. This pertains to all tobacco and cannabis products. Security deposit will be forfeited if smoke is detected inside the rental unit.

PLEASE NOTE Colorado law prohibits disposing of smoking materials on the ground. You may be issued up to a $2,500.00 fine for doing so. It also becomes a felony if it results in a fire due to neglectful disposal of smoking materials.

MARIJUANA USE IN COLORADO  While Colorado has legalized the use of marijuana, there are still rules and regulations that apply. It is illegal for people under 21 to buy, have or use retail marijuana. It is a felony for adults to give, sell or share marijuana with anyone under 21. Colorado residents 21 years and older can buy up to one ounce of retail marijuana at a time. Non-residents can buy up to 1/4 ounce of retail marijuana. It is illegal to sell marijuana if you are not a licensed retailer.

Adults age 21 and older may have up to 1 ounce of marijuana. Having more may result in legal charges or fines. No matter how you use marijuana - smoked, eaten, or vaped - it is not allowed in public places. This includes: Outdoor spaces like national and local parks, ski resorts, concert venues and indoor areas like restaurants and bars. It is illegal to drive under the influence of marijuana and you can get a DUI. It is illegal to use marijuana or have open packages in a car. Additionally, rental car companies may charge fees if the car smells like marijuana. Marijuana use is still a federal crime. It is illegal to take marijuana out of the state or to any Colorado airport. Dispose of unwanted marijuana safely and securely before leaving the state. PETS  Dogs are allowed at several of our homes with prior approval. An additional fee of $100 will be applied for the reservation. No more than three (3) dogs will be allowed. Cats are not allowed in any of our homes at any time. Dog owners are responsible for cleanup of any/all pet refuse. Dogs are not allowed on furniture at any time. Any evidence of dogs on furniture may incur extra cleaning fees. All dogs must be up to date on rabies vaccinations and all other vaccinations. Heartworm prevention is highly recommended. All dogs should be treated with Advantage or similar topical flea and tick repellent three (3) days prior to arrival. Fleas and ticks are very rampant in this area and can cause harmful/fatal illness to humans and other dogs. All items above are the sole responsibility of the dog owner. The homeowners assume no responsibility for illness or injury that may incur to dogs or humans while on the premises. If you did not get prior approval or select the pet option when making a reservation, the credit card on file will be charged the full pet fee ($100) and an additional fee of $100.00 for odor/clean up.

PLEASE NOTE Pets are not allowed at some of our homes. Please reference the property details on our website, or inquire with a reservationist, to see if the home you are interested in allows pets. If signs of a pet are discovered at a home that does not allow pets, your credit card on file will be charged the full pet fee ($100) and an additional fee of $100.00 for odor/clean up.

CHECK-IN AND -OUT  Check-in time is after 4:00 PM MST and Check-out time 10:00 AM MST. NO early check-ins or check-outs without prior approval. Be aware that if you arrive early you may have to wait to check-in if the property is not ready. Adequate time is necessary to prepare the unit for the next guest arrival, therefore we must insist on a 10:00 AM check-out. A minimum fee of $100.00 may be accessed for late departure (after 10:00 AM). There are NO refunds for early departure.

SECURITY DEPOSIT  At time of the reservation you have the option of purchasing a $35.00 Non Refundable Vacation Rental Damage Protection Insurance from CSA --or-- paying the $500 Refundable Security Deposit. Optional Travel Insurance from CSA is also available at the time of the reservation.

VACATION RENTAL DAMAGE PROTECTION INSURANCE  This Vacation Rental Damage plan covers unintentional damages to the rental unit interior that occur during your stay, provided they are disclosed to management prior to check-out. The policy will pay a maximum benefit of $3,000. Any damages that exceed $3,000 will be charged to the credit card on file. If you damage the real or personal property assigned to your rental accommodation during the trip, the Insurer will reimburse the lesser of the cost of repairs or Actual Cash Value of the property, up to $3,000. Certain terms and conditions apply.  Full details of the Vacation Rental Damage coverage are contained in the Description of Coverage or Insurance Policy (www.vacationrentalinsurance.com/G10VRD). The Vacation Rental Damage can be purchased up to, and including at, check-in. By submitting payment for this plan, you authorize and request CSA Travel Protection and Insurance Services to pay directly Red Door Vacation Rentals any amount payable under the terms and conditions of the Vacation Rental Damage. Please contact Red Door Vacation Rentals directly if you do not wish to participate in this plan or assignment.

VACATION RENTAL TRAVEL INSURANCE  CSA Vacation Rental Travel Insurance has been made available with your reservation. Vacation Rental Insurance reimburses for pre-paid, non-refundable expenses due to certain unforeseeable circumstances that may jeopardize your vacation investment and force you to incur unplanned expenses. We strongly recommend you purchase this valuable protection. If declined, you acknowledge you have read and understand our cancellation policy and choose not to purchase Vacation Rental Travel Insurance on behalf of all occupants. PAYMENT  An advance payment equal to 25% of the rental revenue plus damage insurance (options include non-refundable insurance policy through CSA Travel Protection or refundable security deposit through RDVR. Security deposit prices vary for each home) is due at time of reservation. All reservations must have a valid credit card on file. All advance payments will be applied toward the house rental. Final payment is due 45* days prior to arrival. Your encrypted credit card on file will be charged when the balance payment is due. Payments can be made in the form of credit cards, cash, E-checks or personal checks payable to Red Door Vacation Rentals. All NON-SUFFICIENT checks are subject to a 50% collection fee and immediate reservation cancellation.

*EXCEPTION Reservations made within 45 days of arrival must be paid in full by credit card at the time of booking and all monies paid are non-refundable at that time. We do offer travel insurance for your consideration.
 
CANCELLATIONS  Cancellations made at least 60 days before arrival will receive a 100% refund. Cancellations made 59-30 days before arrival will receive a 50% refund. Cancellations made less than 30 days before arrival will receive no refund. Cancellations or changes that result in a shortened stay, or early departure do not warrant any refund of rent or deposit. We strongly recommend purchasing the optional Vacation Rental Travel Insurance through CSA in case you need to cancel your reservation for any reason.

STORM POLICY/ROAD CONDITIONS  Colorado can have severe weather conditions any time of the year. No refunds will be given for storms. Mountain roads can be curvy and steep. Gravel drives are well maintained, however we highly recommend four wheel drive and/or chains during the snow months. We do not refund due to road conditions.

MAXIMUM OCCUPANCY  Each home has a maximum number of guests. These homes are designed for the quiet enjoyment of our guests and NOT to be used for parties, large gatherings or receptions beyond the sleeping capacity. If it has been determined that more than the approved number of guests are staying at the house, you will be asked to vacate immediately and no refund or security deposit will be returned. This property require a two (2) night minimum stay during regular season and a five (5) night minimum stay during holiday seasons. If a rental is taken for less than the minimum number of nights, the guest will be charged for the full minimum nightly stay.

INCLUSIVE FEES  Rates include a one-time linen/towel setup to meet the unit's maximum capacity. Basic household necessities are also provided on a one-time basis, including dish soap, laundry soap, paper towels and toilet paper. While linens and bath towels are included in the unit, daily maid service is not included in the rental rate. Mid-stay cleanings are available for an additional fee (rates differ for each home). Guests are expected to launder towels, etc. as needed during their stay. All trash is removed at the end of each reservation. ALCOHOL  Alcohol is allowed at all of our homes to anyone over 21. Although excessive drinking, heavy partying and loud carousing are not permitted.

CITY AND HOA ORDINANCES  Some of our homes are located in an HOA or within city limits. They do have specific rules that pertain to their area. These rules are posted in each individual home in the guest information book.

QUIET HOURS  We ask our guests to please respect others in the community by adhering to quiet hours between 10:00 pm and 8:00 am.

FIREPLACES/FIREPITS  Do not leave fire unattended at any time. Please do not leave things sitting in front of the fireplace or firepit. Also, be careful not to get too close to the fireplace and keep children at a safe distance from the fire at all times. Always extinguish fire properly when finished. Never dump hot coals or firewood on the ground or in a trash can. Please use with caution and adhere to all fire rules. Occasionally in the dry summer months, the county will issue a fire ban. If a fire ban is issued, you will be notified and a notice will be put up in the house. If the fire ban is on DO NOT make outside fires. Firewood is not supplied.

GAS FIREPLACES  Please make sure the fireplace is turned off properly before leaving the house. Do not leave fire unattended at any time. Please do not leave things sitting in front of the fireplace. Also, be careful not to get too close to the fireplace and keep children at a safe distance from the glass at all times. If the pilot light goes out, or if the fireplace is not functioning properly, please notify management at 719-602-0438. If at any time you smell gas, please open windows and leave the house, then notify management immediately.

HOT TUBS/POOLS  Pool and hot tubs are for use by homeowners and registered guests. Please shower before using pool and hot tubs. Children are not allowed without adult supervision. There are certain health risks associated with the use of a hot tub. NO food or glass containers allowed in the hot tub or pool. NO swimming, diving or horse playing in hot tub. DO NOT SIT OR STAND ON HOT TUB COVER. Hot tub covers are for insulation purposes and are not designed to hold any weight. They will break and you may be charged for replacement. Keep cover closed when not using hot tub to keep heat in. Use at your own risk. We are not liable for any accidents or mishaps.

PLEASE NOTE It is impossible to guarantee that all hot tubs will be in working order 100% of the time. We do guarantee to make every effort to correct all deficiencies as soon as possible during normal business hours. Red Door Vacation Rentals has enlisted the service of a hot tub maintenance company to ensure the hot tubs are properly cleaned, maintained, and any problems are discovered and resolved quickly. Maintenance on each hot tub is performed once per week. Unfortunately, this means a technician may stop at the property to check the hot tub during your stay. The technician will only be outside the home, and will do his checks and maintenance as quickly as possible. Please understand we want your stay to be as comfortable and private as possible, but we also want to assure guests that all hot tubs are properly taken care of.

SAUNA  There are certain health risks associated with the use of a sauna. Use at your own risk. Saunas are for relaxing only. NO children permitted in the sauna without an adult. NO food, drinks (except water), or glass containers allowed in the sauna. We are not liable for any accidents or mishaps.

TRASH  Any and all trash left outdoors can and will attract wildlife. Large trash containers are kept in a designated area. Please see the guest book in each home for the location of the trash cans. We do recycle and save aluminum cans, so if you wish to partake in recycling please feel free to separate items. Upon your departure please make sure all household trash is in the large containers and all containers are properly secured. If trash containers are in the garage, please remember to lock the garage.

WATER AND SEWER/SEPTIC  The water is good and drinkable. The sewer or septic system is very effective; however it will clog up if improper material is flushed. DO NOT FLUSH anything other than human waste and toilet paper. NO feminine products, diapers or paper towels should be flushed at anytime. If it is found that any of these products have been flushed and clog up the system, you could be charged for the damages.

MAINTENANCE  As property owners we do everything possible to keep all equipment in good working order. However it is impossible to guarantee that all appliances, hot tubs, water heaters, fireplaces, etc… will be in working order 100% of the time. We do guarantee to make every effort to correct all deficiencies as soon as possible during normal business hours. Report all maintenance problems to the RDVR Management at 719-602-0438 or by emailing [email protected] If it is after hours please leave a message that includes the issue and what home you are staying at. In the event maintenance must be performed, we will do our best to do so without inconvenience to you. Management reserves the right to perform exterior and or interior maintenance during your stay if necessary.

RATE CHANGES  Rates are subject to change without notice. Reservations made for the next calendar year may require rate adjustment if rate increases apply.

FALSIFIED RESERVATIONS  Any reservation obtained under false pretense will be subject to forfeiture of advance payment, deposit and/or rental money, and the party will not be permitted to check-in.

WRITTEN EXCEPTIONS  Any exceptions to the above mentioned policies must be approved in writing in advance.

HOLD HARMLESS AGREEMENT  This rental property is privately owned. The owners or management company (JKLK Custom Services, LLC aka Red Door Vacation Rentals) are not responsible for any accidents, injuries or illness that occurs while on the premises or its facilities. The homeowners or management company are not responsible for the loss of personal belongings or valuables of the guests. By accepting this reservation, it is agreed that all guests are expressly assuming the risk of any harm arising from their use of the premises or others whom they invite to use the premise.

CREDIT CARD AUTHORIZATION  Upon reserving, the registered occupant understands and consents to the use of the credit card provided without original signature on the charge slip and that this Credit Card Authorization cannot be revoked and will not terminate until 30 days after leased premise is vacated. The registered occupant understands that by reserving this property, they are legally bound to this agreement. Charges may include but are not limited to: damages beyond normal wear and tear and excessive cleaning fees. We reserve the right to charge the registered occupants credit card if damage occurs beyond the amount of the security deposit.
